The short version: ShiftProof collects location and selfie data only to verify that work shifts really happened, and payroll data only to calculate pay. We don't sell your data. Each company's information is kept separate, and access is limited by role.

1. Who we are
ShiftProof is a workforce time-tracking service operated by Wiles Digital Group LLC ("we", "us"). This policy explains what information ShiftProof collects, why, and how we keep it safe. It applies to employers who use ShiftProof and to the workers whose shifts are tracked on it.
2. What we collect
We collect only what's needed to run the service:
- Account details — name, email, employee ID, role, and the company a person belongs to.
- Shift data — clock-in and clock-out times, hours worked, and the site assigned.
- Location data — GPS coordinates captured at the moment of clock-in and clock-out.
- Selfie photos — a photo taken at clock-in and clock-out, used to confirm identity.
- Payroll data — pay rates, calculated hours, PAYE and NASSCORP figures.
- Basic technical data — device and connection information needed to keep the app working.
3. Location & selfie data
Because verifying attendance is the core of ShiftProof, we want to be especially clear about these two:
Location
GPS location is captured only at the moment a worker clocks in or out — not continuously, and not in the background. It is used to confirm the worker was at the assigned site (geofencing). We do not track a worker's movements between shifts.
Selfies
A selfie is captured at clock-in and clock-out to confirm who started the shift. These images are stored securely and are visible only to the worker's own company administrators. They are used for attendance verification only.
Consent matters. Employers using ShiftProof are responsible for informing their workers that location and selfie data are collected, and for obtaining their workers' consent, as required by applicable law.
4. How we use it
- To verify that shifts genuinely took place at the right place and time.
- To calculate hours, overtime, and Liberian payroll (PAYE and NASSCORP).
- To show employers who is on site and to generate shift and payroll reports.
- To operate, secure, and improve the service.
We do not sell personal data, and we do not use it for advertising.
5. Who can see it
Access is limited by role. A worker sees their own records. A company administrator sees only their own company's data. One company can never see another company's data. We share data with third parties only as needed to run the service:
- Google Firebase — secure cloud hosting and database.
- Netlify — website hosting.
- Africa's Talking — SMS delivery, where used.
We may also disclose data if required by law.
6. How we protect it
- Data is encrypted in transit (HTTPS) and stored in a secured cloud database.
- Access is controlled by authentication and role-based rules; each company's data is isolated.
- Sessions automatically time out after a period of inactivity.
- Uploaded files (selfies) are restricted to the company they belong to.
7. How long we keep it
We keep shift, location, and payroll records for as long as the company's account is active and as needed for payroll and record-keeping. When a company closes its account, its data can be deleted on request.
8. Your rights
Workers and companies can request access to, correction of, or deletion of their data. Workers should contact their company administrator first; companies can contact us directly using the details below.
